Privacy Policy & Data Governance

This privacy notice explains how SVRIAS 2026 collects, uses, stores and protects personal information in accordance with applicable data-protection requirements, including the GDPR and India's Digital Personal Data Protection framework where applicable.

1. Scope and Commitment to Data Privacy

The ScholarVault Research Integrity & Responsible AI Summit (SVRIAS 2026), organized under the ScholarVault Conference Series, is fundamentally dedicated to upholding the highest standards of data governance, confidentiality, and participant privacy. This policy outlines our data collection, processing, retention, and dissemination practices in strict accordance with the General Data Protection Regulation (GDPR), the Digital Personal Data Protection (DPDP) Act, and international academic privacy conventions.

2. Data Collection and Processing Scope

We collect only the minimum necessary information required to facilitate academic peer review, delegate registration, virtual conference access, and proceedings archival:

  • Author & Researcher Information: Legal name, institutional email address, academic affiliation, department, country of residence, OrcID, and biography.
  • Manuscript & Abstract Data: Research titles, abstract texts, track selections, keywords, co-author contributor details, and optional draft files.
  • Delegate & Invoicing Details: Delegate category, transaction reference identifiers, institutional billing details, and GST/VAT identification numbers where requested. (Note: Payment card numbers are processed exclusively through encrypted PCI-DSS certified payment gateways and are never stored on our servers).
  • Technical Metadata: Browser type, approximate geographical region (for currency localization), and non-identifying telemetry for site performance optimization.

3. Confidentiality of Research Submissions

All abstracts, drafts, and accompanying research materials submitted to SVRIAS 2026 are treated as strictly confidential intellectual property. Submissions are accessible only by authorized Technical Program Committee chairs and assigned peer reviewers who are bound by non-disclosure agreements. Unaccepted abstracts and rejected drafts are removed from active review systems in accordance with our applicable retention and deletion procedures. Backup copies may be retained temporarily as part of routine security and disaster-recovery processes.

4. Virtual Session Recordings & Broadcast Consent

As SVRIAS 2026 is delivered 100% virtually via Zoom, plenary sessions, keynote addresses, and parallel track research presentations may be recorded for archival review and dissemination to registered delegates. By participating as a presenter or attendee, you acknowledge that your spoken contributions during open Q&A sessions may be included in official conference archives. Presenters retain full copyright over their presentation slides and underlying research.

5. Third-Party Processors

We partner only with verified, enterprise-grade third-party infrastructure providers to operate the summit:

  • Virtual Broadcasting: Zoom Video Communications, Inc. (SOC 2 Type II certified).
  • Payment Methods: Encrypted payment gateways (Visa, Mastercard, BHIM UPI, Google Pay).
  • Transactional Communications: Encrypted SMTP dispatch for review decision letters and delegate tickets.

6. Attendee Data Rights

Under international data protection laws, all participants, authors, and reviewers have the right to request access to, rectification of, or permanent deletion of their personal data from our contact registries.
