Registration & Refund Policy

ScholarVault operates under strict anti-predatory academic standards with clear, equitable cancellation and delegate substitution policies.

1. Transparent Cancellation Principles

ScholarVault is committed to transparent academic conference administration and provides clear, documented financial terms for registered delegates and presenting authors.

2. Delegate Cancellation Tiers & Refund Windows

Refunds for delegate registrations are processed according to the following timeline relative to the summit date (14 November 2026):

  • More than 30 Days Prior (On or before 14 October 2026): 100% refund of registration fees paid, minus standard bank transaction gateway processing fees (typically 3–5%).
  • 15 to 30 Days Prior (15 October – 30 October 2026): 50% refund of registration fees paid.
  • Less than 15 Days Prior (After 30 October 2026): No refunds are permitted due to finalized session scheduling, platform and administrative commitments, and other event-related costs.

3. Delegate Substitution Policy

A registered delegate who is unable to attend may request a transfer to another eligible delegate, subject to verification by the conference secretariat. Presenting authors may request transfer to an eligible co-author where applicable. No additional administrative fee will be charged for an approved substitution request submitted at least 48 hours before the summit.

4. Organizer Cancellation or Rescheduling Guarantee

In the unlikely event that the summit is canceled or postponed by the organizers due to technical infrastructure disruptions or unforeseen global force majeure events:

  • All registered delegates will be offered an immediate 100% full refund of fees paid without deductions.
  • Alternatively, delegates may choose to carry over their registration credit to the rescheduled summit or any other ScholarVault conference within a 12-month period.

5. Abstract Rejection & Non-Presentation

Abstract submission to SVRIAS 2026 is 100% free of charge. Authors only pay registration fees after receiving formal acceptance. Therefore, no refunds are necessary for non-accepted submissions.

6. Refund Request Procedure

To submit a formal cancellation and refund request, please email our finance desk at conferences@scholarvault.in with your Full Legal Name, Registration Reference ID, and proof of payment. Approved refunds are credited back to the original payment source within 5 to 7 working days.
